Privacy Policy

This privacy policy describes how ISIM (hereinafter "we") collects, uses and protects the personal data of users of the website international-week.isim.fr, in accordance with Regulation (EU) 2016/679 (GDPR) and the French Data Protection Act No. 78-17 of 6 January 1978 as amended.

ISIM has not appointed a Data Protection Officer (DPO), as this is not mandatory given its activity. For any question regarding your personal data, you may contact the data controller directly at erasmus@isim.fr.

Where you choose to declare food allergies or dietary restrictions (for yourself or an accompanying person), this information may relate to your health and is therefore treated as sensitive data within the meaning of Article 9 of the GDPR. It is collected only with your explicit consent, used solely to adapt catering and ensure your safety during the event, shared only with the staff and caterers strictly involved, and never used for any other purpose. Providing it is optional. Apart from this, no other sensitive data (racial or ethnic origin, political opinions, religion, etc.) is collected.

3. Purposes of processing

The data is collected and processed for the following purposes:

  • Manage event registrations;
  • Communicate with participants (confirmation, invitation letter, practical information);
  • Organise the event logistics (venues, transport, cocktail reception);
  • Produce anonymised internal statistics.

4. Legal basis

Processing is based on:

  • Performance of pre-contractual measures and of the contract (Article 6.1.b GDPR) for managing registration;
  • The legitimate interest of the Organiser (Article 6.1.f) for the proper organisation of the event;
  • Consent (Article 6.1.a) for any optional communication;
  • Explicit consent (Article 9.2.a) for any food allergy or dietary information you choose to provide (health-related data).

5. Recipients of the data

The data is intended for:

  • Authorised staff of the Organiser in charge of the event;
  • Strictly necessary technical service providers (see Article 6).

The data is never sold or transferred to third parties for commercial purposes.

6. Processors and hosting

  • Hosting and database: Cloudflare, Inc. (Workers + D1). Data transfers outside the European Union may occur; they are governed by the European Commission's Standard Contractual Clauses.
  • Email sending: Resend (transactional email provider).

7. Retention period

Data is kept for as long as necessary to organise the event, then archived or deleted within 3 years of the last contact with the participant, unless a longer legal retention obligation applies.

8. Cookies & usage analytics

Browsing sets no cookie by default. Only if you give your consent (cookie banner), the site records an internal usage measurement (page views, mouse movements, clicks, scrolling, time spent, and the information typed into the forms) to analyse the journey and improve the site. No advertising tracking cookies, no third-party audience-measurement tools and no profiling are used. As form entries may contain personal data, this measurement is not anonymous on form pages; it is used solely for our internal analysis, retained for the same period as your registration data (section 7), and you keep all the rights set out below. You can withdraw your consent at any time from the Cookie Policy page.

9. Your rights

In accordance with the GDPR, you have the following rights:

  • Right of access to your data;
  • Right to rectification;
  • Right to erasure ("right to be forgotten");
  • Right to restriction of processing;
  • Right to object;
  • Right to data portability;
  • Right to withdraw your consent at any time, for processing based on consent (without affecting the lawfulness of processing carried out beforehand).

10. Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss or alteration (secure hosting, restricted access to the administration dashboard).

This policy may be amended at any time. The date of the last update appears at the top of the document.
